Booking Terms & Conditions
Important Note: The travel industry in several of our Asian destinations is still in its infancy. While the freshness and novelty of tourism in these regions is part of the appeal to many visitors, others might see it differently. It’s important to recognize that the level of service and standards in some areas, although improving, are not yet comparable to those in more mature travel destinations. In Asia’s new frontiers there is always the possibility that circumstances beyond our control may necessitate some changes to your travel program. Your patience and tolerance in such an event will make your holiday a truly rewarding experience. Vietnam Alive Travel highly recommends that, if you have any questions or concerns about conditions in any destination country, you contact the Foreign Affairs Department in your home country which should be able to provide you with passport, visa and other information. Please ensure that you are aware of all health and entry/exit requirements that may apply to the places you are visiting. You are responsible for meeting all health and entry/exit requirements. A check with the World Health Organization at www.who.int is recommended. The proposed itinerary is subject to availability and we will confirm the requested accommodations and services immediately on receipt of your confirmation and payment. We recommend that you confirm as early as possible to ensure the availability of services and accommodations, especially during the high tourist season in Vietnam & Indochina (September to April and holidays).
Prices: Cost is per person, based on double occupancy, unless otherwise specified. All tour costs are based upon the services specified in each tour's detailed itinerary as per the "Services Includes" section. Services are sold as a complete package and Vietnam Alive Travel will not provide a breakdown of trip component costs. All costs quoted are based on availability and subject to change without notice, as airlines and hotels can unexpectedly impose rate increases. Airfares may increase between time of booking/payment and issuing of ticket.
Booking Procedure: The bookings will be confirmed on receipt of advance deposit only.
(1) Vietnam Alive Travel requires 20% advance deposit plus the air fares to hold the booking.
(2) Balance must reach Vietnam Alive Travel's account 30 days prior to tour departure date.
Liability: for price increases: Prices quoted are subject to amendment in the event that transporters, hotels and other service providers amend their rates prior to commencement of the tour.
Refund: After commencement of travel, no refund will be given, in whole or in part, for services included in the program which are not utilized.
Hotel check in - check out times: Hotel check in times: 02.00 pm. Hotel check out times: 12.00 pm. Extended check in - check out times may be granted subject to availability and agreement with the participating hotels.
Final Payment: Full payment of the balance must be made by transfer and must be received in our account at the State Bank no later than 30 days before your departure for Vietnam. We will supply you with the details and SWIFT codes of intermediary banks which will enable you to expedite your payment - it should take from 4 to 6 working days. However, please check if your bank uses its own intermediate banks, as that can extend the transfer time considerably and additional bank charges may be applied to your transfer. We will confirm to you the actual amount which reaches our bank. In the event that full payment is not received by the due date, we reserve the right to cancel all bookings and the contract between us. Please note that, for convenience, we price in United States dollars. Where price equivalents in VND or any other currency are given, they are for guidance only and must not be taken as firm prices. Both deposit and final payment must be made in US dollars or in your chosen international currency. If you choose to pay in a currency other than US dollars, that currency will be converted to US dollars at the exchange rate prevailing on the day your payment is received.
Changes to Itinerary: If you request changes to be made to your itinerary after you have paid in full, but before your date of departure, any increase in the price must be settled by cash upon your arrival in Vietnam. If changes result in a reduction of the price, you will be reimbursed in VND or USD upon arrival less any costs that we have reasonably incurred. Please note that all credit card payments in Vietnam are subject to a surcharge, currently 3% for Visa and MasterCard, and 3.9% for American Express. If you ask for changes to be made during your time in Vietnam, we will advise you of the extra cost and only proceed on your instruction. Any extra costs that you have incurred by altering your itinerary while you are in Vietnam must be settled no later than three days before your departure from Vietnam. If the alteration involves a reduction, we will refund you the saving in VND or USD, less any costs that we have reasonably incurred, before you leave Vietnam. No refunds will be made for any unused elements of the itinerary.
Cancellation by you: The date of cancellation will be the date on which we receive your notification of your wish to do so. If you cancel your contract after deposit, you will lose your deposit. If you cancel your contract after you have paid in full, you will forfeit your deposit plus an additional amount as follows:
- From 30-25 days prior to arrival: 20% of the total tour cost minus the deposit
- From 24-20 days prior to arrival: 40% of the tour minus the deposit
- From 19-15 days prior to arrival: 60% of the tour cost minus the deposit
- From 14-10 days prior to arrival: 90% of the tour cost minus the deposit
- Less than 10 days prior to arrival: 100% of the amount paid
If, rather than cancel, you wish to transfer your booking to another person, we can arrange this subject to receiving your instructions to do so, the transferee providing his or her full details, confirmation of acceptance of the terms of the contract by the transferee, agreement to pay our costs incurred in making the transfer and any outstanding balance of the total price, and there being sufficient time to allow a new visa to be issued.
Cancellation by us: We reserve the right to cancel the contract between us for any reason prior to your payment of the full price of the holiday, whereupon we will refund any monies that you have paid us in full. After full payment has been made, we will only cancel the contract if circumstances beyond our control make it unavoidable. In the unlikely event that such circumstances should arise, we will contact you immediately and offer you the choice of an alternative of equivalent quality or a full refund of all monies paid. No additional compensation will be paid over and above the total sum received from you.
Insurance: Travel insurance and medical precautions are essential. We do not include any insurance in the tour cost and we advise you to obtain insurance before travelling to Vietnam. We advise you to provide us with the name of the insurer and its contact details so that we can give notification on your behalf if you are unable to do so in the unlikely event of an accident occurring. If you intend to engage in any activity that could be considered 'hazardous' in any way, you should check your insurance contract carefully to make sure that you will be covered in case of an accident. |
